Project Title: Data Collection and Analysis for Vacuum Technology
Project Description: Best practices for vacuum technology require standard processes and procedures that can simplify the workflow and standardize the tests. The Mechanical Fabrication Department works with advanced vacuum systems to ensure that there is the least amount of gas in the accelerator beamline. Running the tests or recording the daily inspections for the vacuum shop equipment or component takes a significant amount of time. Instead of using the physical paper for daily reports, the vacuum shop department has decided to switch to the electrical digital sheets.
To optimize and analyze the data collection, I developed unique approaches using the Smartsheet collaboration cloud-based software platform available at Stanford University and established many data reports so that vacuum scientists can consult them. Smartsheet is a dynamic workspace that empowers teams to manage projects, automate workflows, and rapidly build new solutions—using no-code tools they love, and backed by the security IT needs.
The goal of my internship was to develop tools to simplify the data collections for the different types of activities that occur in the vacuum shop and optimize the analysis to display the meaningful data so that the vacuum scientists can evaluate the outcome.
Using the basic available features from Smartsheet software of Automation, Conditional Formatting, Filtering, Report and much more on the four sub-projects to optimize the workflow data have resulted in the vacuum lab to catch the errors immediately, understand the error patterns, observe the outcomes of the equipment and more solutions by looking through the dashboards that I created. Also, having a dashboard to help visualize the problem occurrence and allows us to understand the frequency of each type of problem so that the team engineers can decide which one needs to fix the first with the effective solutions. The last important thing is that there is no chance of losing the data because they are all always on the Smartsheet cloud.
